CMS Roles and Permissions Overview

General Information

The Showtime platform has a granular system of roles and permissions making the product more robust, secure, scalable, and fit for use by organizations.

Managing Roles and Permissions

Management of roles and permissions is only available to users with role Showtime Admin and can be located under Organization management → User management → Roles and permissions.

 

  1. Default roles - These are generic roles applied across the Showtime product, and are the same for any organization with access to a Showtime CMS. These roles cannot be edited.

    1. Showtime Admin - role with the most extensive permissions and access to all events within the organization. Can invite new users to the CMS, create custom roles.

    2. Event Manager - can share access to the events, create new events and manage all event settings and content. Does not have access to all events by default.

    3. Event Support - has access to the Custom Code settings to install the Drift widget, to Allowlisting and Analytics. Does not have access to all events by default.

    4. Other roles may be added per Touchcast discretion.

  2. Custom roles - Additional custom roles can be created by a Showtime Admin, and will apply only to the respective organization to fit its use cases and needs.

Inviting users to the CMS

To invite a new user to the CMS, go to Organization management → User management → CMS users:

 

Enter user’s email address, define their role and which events they should have access to:

If you are not sure about events, you can leave that field empty.

You can also invite multiple users at once, as long as they share the same role.

Once the invite is sent, an email notification with instructions is delivered to the specified email address. The invites can be tracked on the Invites tab. Accepted means the user has accepted the invite and now has access to the CMS. Pending means the invite requires their attention.

 

Revoking access to the CMS

If a user no longer needs access to the CMS, find their name on the list on the Users tab, click three dots and “Remove from CMS“

 

Benefits of the current system of roles and permissions

  • Granular control of permissions and more capabilities to define roles and give access to event contributors.

  • Further introduction of other features into the CMS, less dependency on team members (pipeline management and automation).

  • Improved security.
